CUSTOMER CARE

Our priority is giving every guest an honest affordable experience whilst staying with us. 

All guests need to be respectful, realistic, flexible, and remember when staying in hostels people snore, rise early to go on hikes, leave dishes around, etc.

We will always act swiftly if guests are being disrespectful or acting in any way that we feel is not conducive to using shared hostel accommodation.

Who stays at the Bothy?​

We welcome all Kiwi's, foriegn travelers, adventurers and holidaymakers whether it is a return visit or your first time in Wanaka. We can accommodate you for 1 night or 100 nights if you are intending to stay and work or play for longer.  We would not call ourselves a party hostel and we actively encourage all of our guests to get out and about to enjoy Mt Aspiring National Park as well as the lake and surrounding vineyards and ski fields.

Booking Terms

All guests must be over 18 years of age unless accompanied by a parent or guardian (for under 18 years old group bookings please enquire directly with the management.

Valid government-issued photo identification may be required when checking in.

All balances owing for your stay must be settled when checking in or extending your stay and these payments are non-refundable if you choose to shorten your stay. Late Check-In guests must settle all bills prior to departure.

All prices are in NZD and are inclusive of GST.

We reserve the right to change the prices listed for all items listed on our website at any time and without notice. Please check pricing for your stay on our bookings page or by contacting us. We will not alter a price you have confirmed online.

While we endeavor to accommodate your needs as best as possible – for bookings of more than 1 person, we cannot guarantee you will be booked in the same dorm if you use Online travel agents. If you book direct we have greater control and can normally accommodate your wishes. 

Cancellation Policy

While at the Bothy we understand that travel plans can change things go wrong and breakdowns happen. Most issues are resolved with good communication but the responsibility is yours to inform us immediately of any changes to your booking or timings as we also have responsibilities to ensure the business runs as economically as possible to keep charges low.

 

  • Cancellations or changes to your booking must be made before 11.59 pm 2 days prior to the check-in day. Failure to do so will incur a cancellation fee equal to at least the first 2 days of your booking or it may be the whole booking in some cases.

  • All cancellations have a 2.9% card processing charge as this is pre-charged during card processing and not returned to us. 

  • Shortening a booking during your stay will typically result in no refund being given. 

  • Failure to check in before reception closes will result in your booking being canceled and the bed immediately re-assigned if we have a waiting list. Please contact us if you intend to arrive late and we can easily arrange this free of charge.

  • Any guest under 18 that is unaccompanied by a parent or guardian will be unable to stay and will be charged as per the relevant cancellation policy.

  • There is an early check-in and late check-out policy that allows you to enjoy the facilities early or later for a small charge. Please arrange this with the hostel manager before checkout time 1000 or if you would like to check in before 1400 to ensure a smooth process for you. 

 

Christmas and New Year Policy

  • There is a 14-day cancellation policy on all bookings no exceptions.

  • All Christmas and New Year bookings must be paid in full 

  • The over-21 age restriction is for all guests' benefit. All guests will have to present ID to verify their age prior to check-in. 

 

Price Match Policy

We are committed to providing a fantastic guest experience and there is a value to this service which we believe ensures our guests get a great experience with employees that are happy, trained and motivated.

If you can book a similar bed or room in a legal and compliant Hostel in Wanaka at a lower price than we list we will match the price.

As a global guest please do not underestimate the costs associated with maintaining an accommodation business in NZ but be rest assured we have in place all of the necessary licensing, fire protection and insurance as well as being committed to using legal workers and not trying to bypass labor laws or exploit vulnerable travelers as a way to reduce our overheads.

 

 

Ethical Position

  1. All Wanaka Backpackers Bothy staff are on payroll and receive full entitlements. We do not offer work for accommodation or woofing as we are not a farm.

  2. We provide value accommodation to match the needs and requirements of travelers and holidaymakers.

  3. We aim to be sustainable and recycle or reuse where possible. 

  4. We are locally based and family owned providing support and knowledge of the local area.

Cochrane & Brown Ltd  (Wanaka Backpackers Bothy) has created this privacy statement to demonstrate our commitment to your privacy. This statement outlines our information gathering and dissemination practices for the web site.
 

What We Collect and Where:

Our site may use forms that our guests can use to request information, products, and services. From these forms, we collect the following information: Visitors' contact information (like e-mail addresses), unique identifiers (like customer name and contact numbers). 

IP Addresses:

No attempt will be made to identify users or their browsing activities except in the unlikely event of an investigation, where a law enforcement agency may exercise a warrant to inspect server logs. The statistics and log files may be preserved indefinitely and used at any time and in any way necessary to prevent security breaches and to ensure the integrity of the information supplied by the Bothy. 
When this website receives information about your session or about you, via your consent we may also use it for research in order to improve our site and the services we offer you.

How Secure is the Information We Collect?

The Bothy makes every effort to follow industry standard security measures in order to prevent loss or misuse of the information under our control. Once the Bothy receives information from you via email or any other means, the information is kept in a secure environment accessible only to internal employees. Your personal information will not be released unless the Bothy believes in good faith that the law requires it or your permission is granted. 

What Do We Use This Information For?

Contact Information and Unique Identifiers: your contact information and unique identifiers will only be used or disclosed for the purpose for which you have provided it (to send requested information about our services and to get in touch with you when necessary). We may use the information we collect through our “Guest Book” to improve the content of our web site and the services we offer you.

What About Cookies?

The Bothy web site only uses session cookies during a search query of the site and during the building of an inquiry regarding services offered by the Bothy. Administrators of the website (not members of the general public) will also have session cookies stored on their machine for the duration of each log-in.
Upon closing your browser, the session cookie set by this web site is destroyed and no personal information is maintained which might identify you should you visit our web site at a later date. Our server cannot find out a name or email address, or anything about a user's computer, by using cookies. Cookie information is not stored or collected by the Bothy.

Credit Card Payments:

Payments are processed through the secure Stripe payment system. Any credit card details stored for payments are done so on the Stripe system. No credit card information is stored by us and Payment Express protects personal information – at a minimum – to the Payment Card Industry Data Security Standards (“PCI-DSS”).
Payment Security is managed through DPS for mutual security. Encryption protection is managed with an SSL (Secure Socket Layer) certificate, industry standard 128bit encryption software. Any credit card details stored for payments are done so on the DPS system. We do not hold customers' credit or debit card details on in any format that is not password protected with heavily restricted access. In the event you email your card details we will delete this email as soon as we have charged your card.

Privacy Act Statement 1/12/20:

We collect personal information from you, including information about your:

  • name

  • contact information

  • billing or purchase information

We collect your personal information in order to:

  • Identify you and book you into our accommodation. We also store your card details to secure payment. This data is kept secure in our booking system and is password protected with a once only access system to allow payment to be charged by the owner or Hostel Manager. These card details may also be held by the OTA you used to reserve your room.

 

Providing some information is optional. If you choose not to enter Payment and identification details, we'll be unable to reserve a room and you will have to book in person running the risk of us having no availability. We will still need to identify you to book you in..

We keep your information safe by storing in our property management system and only allowing reception managers .

You have the right to ask for a copy of any personal information we hold about you, and to ask for it to be corrected if you think it is wrong.
